Learning Genie Reflective Planning Tool

You may have noticed that the Learning Genie sidebar has a selection called “Reflective Planning.” We have discussed the possibility of utilizing this AI powered tool as a supplement to Activity Planning. We will be offering the opportunity for educators to pilot this tool as a supplement to the Creative Curriculum. We have scheduled an optional training in November 10, 2025 at 1:00 PM. Please email Jewelee if you did not receive an invite and want one. If you are curious sooner, you can access the on-demand training on the Learning Genie Course tab at the top of the Learning Genie Website (look for the easel graphic).

QRIS/Match Salary Enhancements

We will once again be utilizing our QRIS CSSP Funds primarily to pay out salary enhancements to eligible staff. All our GO sites achieved a tier 5 QRIS rating and have received an award of $7,500 per site. This is a bit less than last year. The award is before taxes will be divided by 7 staff and taxes will be taken out. Like last year, we will be using other funding to issue matching salary enhancements for CCTR/EHS Center Staff. To be eligible:

  1. Staff must have worked in an eligible position as of June 2025 at a site that scored a 4 or 5. Note all sites scored a 5.

  2. Staff must meet with a professional growth advisor by October 31, 2025, and document the meeting at the link on the flyer linked above.

  3. Staff’s current classroom must demonstrate fidelity to the Teaching Pyramid and each classroom must report results using the link on the 2025 SCOE GO QRIS flier. The School Readiness team is scheduling observations to assess Teaching Pyramid fidelity between now and 10/17/25. Classrooms not achieving fidelity will be provided coaching and will be observed again by 10/31/25. Classrooms not achieving fidelity will not be eligible for a salary enhancement.

    1. To meet fidelity expectations, preschool classrooms must score “yes” on at least 10/12 questions on the TPOT Champion Snapshot. Please note classrooms that demonstrated fidelity using the full Teaching Pyramid Observation Tool (TPOT) in Spring 2025 have achieved fidelity and will not receive a Snapshot.

    2. Infant Toddler classes must score “no” on at least 10/11 questions on the TIPITOS Red Flags.

QRIS Supply Funds

After salary enhancements have been set aside, several preschool sites have QRIS funds for supplies. Below are their allocations. Educators and supervisors, please coordinate with Desiree and submit orders no later than 9/30/25. Note “QRIS Budget” on your ticket

Professional Growth Event

CFS is hosting the annual Fall Professional Growth Event September 29, 2025 through October 10, 2025 7:00 AM-6:00 PM. Advising is provided through a 30 minute virtual meeting. Sign up no later than October 9th.

Are you interested in making a positive impact on SCOE GO operations? Do you have ideas about how to improve systems issues at work? Consider joining this year’s Program Quality Team (PQT)! The PQT will meet 10/10/25, 11/7/25, 1/16/26, 2/27/26, & 3/20/26 to discuss what works, what doesn't work and what we can do differently. Monthly Ordering Reminder

We are award of concerns regarding delays in receiving requested items, CFS is currently addressing the delays to speed up our timelines. As a reminder, supply orders are submitted using the current GO Monthly Supplies Order Form Request. An updated version will be distributed in the next few months. To prevent coding delays on orders, for sites with both EHS and RHS budgets, it is requested that separate order forms are completed for each fund. Regular supply orders are submitted on the following schedule: Please note that requests for urgently needed items may be submitted as needed.

File Storage

We are required to maintain children’s files for seven years. Files are kept on site for the previous year and transitioned to our file storage room at TCEC after that. It is important that file boxes are labeled with the appropriate file label. Label colors are specific to program year. Here is a sample of the file sticker for the 2024-2025 program year. IEP/IFSP Meetings

Learning Genie/DRDP 2025 Update

We previously notified you that Learning Genie was still developing the Parent Action Plan Report for the DRDP 2025. As a result, the due date for the DRDP 2025 & DRDP 2015 Collection #1 was moved to September 30, 2025 for programs that opened July 1st. Great news! The Parent Action Plan Report for the DRDP 2025 will be active in Learning Genie on Wednesday, 9/24/25, just in time for our extended deadline. As a reminder, be sure all measures are rated prior to locking the assessment. It will take about two hours after locking to generate a report. Here is our Child School Readiness Plan (Parent Action Plan) Procedure. It was updated to reflect selecting 3 strengths and 5 goals. Deadlines for programs with a DRDP deadline after 9/30/25 were not affected.

Father Figure Survey

Early Care and Education Employee of the Year

The Stanislaus County Office of Education, Child & Family Services, and Universal Pre-Kindergarten are joining forces to recognize the incredible Early Care and Education employees in our county. The Early Care and Education Employee of the Year will honor 3 finalists.  Finalists will be selected for each of the following pillars: Educating Children, Supporting Parents and Families, Developing Professionals and Program Support. All 3 finalists will be recognized and will receive a $1000 check at the Regional Pre-service 2026!

ANY staff employed with SCOE, CFS Delegate agencies, subcontracting agencies, or CFS agency is eligible to nominate an employee who directly or indirectly supports any facet of your programs for this award!

Purchasing Reminders

Jennifer, our buyer, Diana from Fiscal and Rita from Admin provided an overview training to provide reminders on purchasing. Here is the Purchasing Refresher Guide for those of you who submit Purchase Requisitions. Below are some highlights from the presentation.

Purchasing Process

  • Shopping carts need to be sent to our buyer, Jennifer Sandoval, for a quote jsandoval@stancoe.org.

  • Carts need to be separated by vendors. Please don’t combine multiple carts into one PDF.

  • Include location of where the items will be used/ultimately housed & for whom the order is intended/purpose.

  • If for a specific event, specify event date.

  • Jennifer will attempt to respond within 2 business days but some quotes need to go out to a vendor so there may be a delay.

  • The Requisition Approval Routing process takes time to get through the process, especially during high purchasing times.

  • For Status updates, ask Diana first or check SCOE’s Shipping & Receiving PO Status link: Purchase Order Status View

  • There is a current issue with Lakeshore orders. Deliveries are very delayed, by months. It is recommended that you choose another vendor or allow lots of extra time

  • Plan Ahead- Submit IIQ Ticket as early as possible to ensure supplies arrive in time (allow 2-6 weeks)

  • Travel Authorizations—Start with a fresh form every time because there have been errors when forms are reused and calculations are incorrect. Submit Travel Authorization in IIQ. Make sure there is an invoice attached to pay for registration. Be sure to submit your Travel Reimbursement within 2 weeks of returning. Submit Travel Reimbursement in IIQ

  • Be sure to let Diana know immediately if an item was damaged an needs to be returned. Shipping and Receiving checks items in boxes but there have been issues with vendors missing items so please double check that all items have been received.

Items

  • Carts for preschool (2-5) need to be separated from infants & toddlers (0-2).

  • Items to avoid

    • Choking Hazards—items that fit into a choke tube pose a choking risk for children under age 3

    • California Prop 65—Law requires businesses to provide warnings before people are exposed to chemicals on the state’s Proposition 65 list. Schools are prohibited from ordering items with toxic or carcinogenic substances for young children

  • There was some discussion regarding the restriction of ordering items for preschool classrooms that are appropriate for children 3 years and older. A group will be working with Purchasing to identify new vendors that can address our needs. The Buyer can approve items for preschool classrooms that are for 3 and above if it is determined that the item is not a choking hazard.

Government Shutdown

As many of you are aware, there is a lot of talk about a potential shutdown of the Federal Government. We expect that even if there is a shut down, we expect business to continue as usual for SCOE.

We have been alerted that there may be some interruption of WIC benefits. Please check on families who rely on WIC for infant formula so we can step in to assist families as needed to meet children’s nutritional needs.

Supervision Reminder

A few staff have recently asked if they can remain in the ratio while stepping into the kitchen as long as they leave the door open. The answer is no. Being in another room, such as the kitchen or bathroom, even with the door open, is considered out of ratio. Once you step into another room, you are no longer able to supervise the children, which places you out of ratio. Staff who remain in the doorway and maintain visual supervision of both the classroom and restroom do remain in ratio.

Onboarding Coach Opportunity

To support staff recruitment and retention efforts within the Child & Family Services Division, an enhanced onboarding process for new education staff is being implemented. This process will give new employees a solid foundation by providing coaching support during their initial week of employment by a veteran staff member. Approved Onboarding Coaches will receive up to three $1,500 stipends for completing side-by-side coaching of a new educator at the coach's work site.
